Here are 7 of the most common operator licence mistakes we see — and how to stay one step ahead.
1. Missing Maintenance Records
You need to keep all PMI sheets, defect reports, and invoices for at least 15 months. Scanning them into the cloud is smart; leaving them in a glovebox is a disaster.
2. No Written Driver Defect Reporting Process
A walkaround check isn't complete until it's recorded. Use an app, paper, whatever works – make sure there's a signed trail.
3. Out-of-Date TM Involvement Evidence
Can you prove your Transport Manager is active? Meeting minutes, emails, and signed-off checks will all help if DVSA come knocking.
4. No Policy for Drivers Working Elsewhere
If your driver does shifts for someone else, you need a written declaration. No exceptions.
5. Poor Tachograph Analysis
If you're not reviewing driver infringements and acting on them, you're not compliant. And no, saying "he's been told" doesn't count.
